Book description

Everyone at work seems to be talking about AI. You've tried a chatbot a few times, got something bland back, and went back to writing the email yourself. Meanwhile the inbox is still full, the meeting notes are still unwritten, and the report is due at the end of the week.

Work Smarter skips the futurism and goes straight to the tasks that fill a working day. It starts by separating hype from reality, sets you up with prompting basics, sensible tools and safe use, then works through one job at a time. The focus is help, not replacement: AI takes the repetitive parts so you keep the thinking, the judgment and the relationships.

Look inside

Chapter 1: Cut Through the Noise

You already tried AI. Maybe you opened ChatGPT or Copilot a few months ago, typed something like "write a follow-up email to a client," got back a wall of polite mush that sounded nothing like you, spent ten minutes fixing it, and concluded the whole thing was overhyped. Or maybe you went the other direction: you downloaded six AI apps in one enthusiastic weekend, used each one twice, and now they sit in a folder on your phone next to the meditation app you also abandoned.

Either way, here you are. The promise was that AI would save you hours every week. Your actual experience is that it cost you time and delivered little.

This section starts with a claim I will stand behind for the entire book: your results so far say nothing about your intelligence, and surprisingly little about the tools. Almost everyone who fails with AI at work fails for one of five specific, fixable process reasons. By the end of this section you will know exactly which ones apply to you, and you will have a clear picture of what working differently looks like.

The five failure patterns

After watching colleagues, clients, and workshop participants try to adopt AI tools, the same five patterns show up again and again. Most people have two or three of them running at once.

# Pattern What it looks like The hidden cost
1 Tool-hopping Trying a new app every week, mastering none Constant setup time, zero compounding skill
2 Vague prompts One-line requests with no context Generic output you have to rewrite anyway
3 Expecting perfection Judging AI on whether the first draft is final-ready Quitting a tool that was 80% of the way there
4 No workflow Using AI randomly, whenever you remember Savings never add up to anything measurable
5 One-and-done Trying a task once, getting mediocre output, declaring AI useless Missing that the second attempt is usually the good one

Let me make each one concrete, because you will recognize yourself in at least one of these.

Pattern 1: Tool-hopping. Sarah, a marketing manager I worked with, had accounts on eleven AI tools. Eleven. When I asked which one she used daily, she paused and said, "Honestly, none of them, really." Every new tool launch reset her learning to zero. She knew a little about many interfaces and a lot about none. Meanwhile, her colleague Dave knew one general chatbot deeply, had taught it his preferences, and was producing client reports in half the time. Depth beats breadth, every single time.

Pattern 2: Vague prompts. Compare these two requests:

Example: Weak prompt: "Write an email about the project delay."

Strong prompt: "You are a project manager writing to a client. Context: the website redesign is delayed by one week because their content team delivered copy late. Task: write a short email that informs them of the new date (March 14), keeps the tone warm and confident, and does not blame them. Format: under 120 words, no bullet points."

The first prompt forces the AI to guess everything: who is writing, to whom, what happened, what tone, how long. Guessing produces generic. The second prompt takes 45 seconds to write and produces output you can send with minor edits. Chapter 2 gives you the full formula behind the strong version (it is called RCTF), but you can already see the point: the quality of what you get out is capped by the quality of what you put in.

Pattern 3: Expecting perfection. Many professionals unconsciously apply a simple test: "Did the AI produce something I could send as-is?" When the answer is no, they walk away. But that is the wrong ...
